The Administrative Assistant provides secretarial and administrative support of a non-routine and confidential nature, ensuring that the Administrative & Medical Staff  Services functions in an effective and professional manner.  This role is responsible for the following global activities:

• Coordinates and prepares contracts and researches, compiles and analyzes data for special projects

• Assists Medical Staff Director with physician credentialing and upkeep of database

• Prepares reports using various computer programs

• Coordinates both internal and external contracts as it relates to scheduling appointments, meetings and personal contacts;

• Uses extensive customer relation skills while assisting visitors, telephone calls and interfacing with department head/supervisors and other employees

• Types/composes sensitive correspondence; maintains files;

• Coordinates conferences and meetings

• Arranges travel itineraries for CMO

• Transcribes minutes for assigned meetings and other special projects as required

• Obtains materials relative to various projects of a complex nature, acts as a resource and assists in the preparation for regulatory visits.

• Assists Administrators in accomplishing the goals and objectives as established by the company

• Schedules meeting rooms for all departments. 

• Routinely provides support to Med Staff Director and CMO

Job Requirements

High school education / GED required. Minimum of 2 years in an Administrative Assistant capacity highly preferred. Must have strong interpersonal, oral and written communication skills. Effective human relations skills are required for interfacing with team members, all levels of staff, physicians, patients, families and other contacts. Must possess the ability to effectively function in a stressful environment. Must possess the ability to use the following equipment: Telephone / Overhead Paging System / Fax Machine / Calculator / ComputerMust have strong interpersonal, oral and written communication skills. Effective human relations skills are required for interfacing with team members, all levels of staff, physicians, patients, families and other contacts. Must possess the ability to effectively function in a stressful environment. Must possess the ability to use the following equipment: Telephone / Overhead Paging System / Fax Machine / Calculator / Computer. As pertinent to the position, must be able to use computer, telephone, calculator and adapt to new technology as it becomes available and necessary for the job.
