The primary purpose of this position is to coordinate the reception area of the physician office. Receives mail, drug screen collections, performs breath alcohol testing, answers telephones, greets visitors and patients, answers questions, and directs them to their appropriate locations
Job Responsibilities:           
  • Provides quality customer service through greeting patients, answering phones and making patient appointments.  Referrals:  contacts the patient in a timely manner. 
  • Responsible for resource schedule.
  • Rooms patients and obtains vital signs (office assistant only, practice specific).
  • Answers phones in a timely and polite manner, transfers calls appropriately, and relays messages.  Attempts to resolve patient questions and requests before referring them to other staff members.
  • Prepares the medical chart for each patient by identifying and utilizing the appropriate forms and recording information. Maintains the record by placing additional visit information, tests, dictation, etc. into the record.
  • Utilizes the computer system by inputting patient information, payments, letters, etc. on the patient’s account. 
  • Works effectively with insurance company representatives. Also conducts insurance verifications for all new patients.
  • Copies patient insurance cards, records, forms, etc. to effectively process patients who are new or in need of services.
  • Closes the credit card machines every night and prepares the EBO reports and faxes the receipts to Accounting.
  • Maintains a tidy and balanced cash drawer at all times.
  • Contacts patients as needed to convey information concerning appointments, and other information as needed.
  • Maintains the fax inbox by clearing daily and uploading documents into the proper patient chart or printing off to be given to the proper person (practice specific – may be done by clinical staff).
  • Runs between the hospital and clinic delivering mail or paper work and occasionally collecting supplies.
  • Verifies returned mail by contacting patients for their updat5ed address and resends returned mail.
  • Scans in reports brought back from the hospital.
  • Assists in the effective and efficient operation of the medical practice performing drug screen collection, breath alcohol testing and hair collection for drug screens.
  • Maintains CONFIDENTIALITY of all pertinent patient care information to assure patient rights are protected. Releases information in accordance with established policies.
  • Does not have unauthorized overtime, arrives on time, leaves on time and has few unscheduled absences.
  • Respects diversity of each individual (patients, visitors, vendors, co-workers).

Job Requirements

Must be able to obtain BLS within 60 days of employment.
